Understanding Setup Costs: A Guide for Musicians

The precise adjustment of a musical instrument is not a standardized product, but a specialized craft service tailored to the unique geometry of the instrument and the specific playing style of the musician. Many clients in Vienna ask why setup prices vary and which factors influence the final cost. In this guide, we disclose exactly how we calculate costs at Basnetbase to ensure complete transparency for our clients.

The Foundation: What is a Professional Setup?

A professional setup encompasses far more than simply tuning the strings. It is about optimizing the overall playability of the instrument. For a guitar, this means the precise adjustment of the neck relief (truss rod), optimizing the nut height, and the exact alignment of the bridge saddle. The goal is to keep the string action as low as possible without causing unwanted buzzing or interference.

In our workshop located in Vienna's Neubau district, we maintain a strictly controlled humidity level of 45-55%, as tonewoods react significantly to climatic fluctuations. A setup performed in a non-climatized environment is often short-lived, as the wood can shift immediately during weather changes, altering the geometry we worked to perfect.

Detailed Cost Factors

The price for a setup consists of three primary components: labor time, material costs, and specialized technical expertise. Depending on the current state of the instrument, the required effort can vary significantly.

  • Condition Analysis: Every instrument begins with a diagnostic phase. At Basnetbase, this initial diagnosis is free of charge (0 €), allowing us to provide you with a transparent and honest cost estimate.
  • Material Wear: High-quality strings or specialized polishing compounds for the frets are included in our package prices, unless specific premium requests are made.
  • Complexity: While a simple string change is a routine task, a complete refret requires deep mechanical processing of the fingerboard and extreme precision.

Case Study: Fret Work and Leveling

When the frets of an instrument are pitted, grooved, or unevenly worn, a simple setup is no longer sufficient. In such cases, fret replacement or leveling becomes necessary. Fret leveling and polishing (70 € incl. VAT) is a preventive measure used to improve intonation and smooth out the playing surface.

A full refret, however, is a major intervention. This process involves removing the old frets, cleaning the slots, inserting new precision-fit frets, and leveling them to a fraction of a millimeter. Due to the high labor intensity and the required accuracy, the price is 320 € incl. VAT. This is a long-term investment in the instrument's longevity that often lasts for decades.

Service Estimated Effort Price (incl. 20% VAT) Price (excl. VAT)
Standard Setup approx. 1-2 hours 85 € 70.83 €
Fret Leveling approx. 2-3 hours 70 € 58.33 €
Full Refret Several days 320 € 266.67 €

Regional Specifics in Vienna and Austria

In Vienna, indoor humidity during winter often drops to extreme lows due to the powerful heating systems found in traditional Altbau buildings. This can lead to shrinkage and even cracks in the soundboard of acoustic instruments. We observe that instruments in this region require more frequent adjustments than those in coastal areas. Therefore, we recommend all our clients to be vigilant during seasonal transitions. You can find more detailed tips in our guide on guitar care during seasonal changes.

Our pricing reflects the artisanal standards of the Viennese musical tradition. By utilizing efficient processes within our 65 m² workshop, we are able to offer competitive conditions without compromising on the quality of the hand-work.

Checklist: When is a Paid Setup Necessary?

Use this list to determine if your instrument requires professional assistance:

  • The strings are too high above the fretboard, making fingering difficult and tiring.
  • Specific strings buzz at certain frets, even when the instrument is correctly tuned.
  • The intonation is off (the instrument sounds out of tune in higher positions).
  • The frets feel rough to the touch or show visible deep grooves from wear.
  • The instrument has been stored in an unheated or damp room for an extended period.

Our Process and Your Security

We operate under strict quality guidelines. Following the free diagnosis, we create a detailed estimate (Smeta). We only begin the work after your explicit approval of the costs. The average turnaround time for a standard setup at our workshop is 3 days.

We provide a 6-month warranty on all performed work. Should the setup not meet the agreed specifications, we will correct it free of charge within the warranty period. We document every step and provide you with a detailed report of the work performed upon collection.
